How to add a document template to Elba

Standard forms of documents are not always suitable for processing transactions. Often you want to get rid of unnecessary fields or, conversely, supplement information. Most documents in Elba can be created using your own templates. Add them to the service in order not to manually interrupt customer details.

All you need to do is open your document in Word and fill it with special words. We call them tags. In the place of the document where you need to fill in the date, put the tag {DocumentDate}. In place for the number — tag {DocumentNumber}. In the field where the total amount is indicated — {DocumentAmount}. Elba has a whole list, in which each attribute has its own tag. Download the list when creating a template and copy tags from it.

Tags are good because Elba can recognize them. When you upload your template, the real number, date of creation, cost of goods or services will appear in the finished document for the client instead of tags. So Elba will replace each tag.

Create your own tag for the template

If the required tag is not in the Elba list, create your own. Just enter the tag name between the curly braces and paste it into the template.

Let’s imagine you have an invoice template in which you need to specify a different order number for each customer. Add the {Order No.} tag to the template and upload it to Elba. When creating an invoice, a field with the name «Order No.» will appear, which you will fill in for each client.

This works for any document. For example, you can change parts of a contract for each customer. Insert the {Payment date} tag into the service agreement template. In Elba, when creating a contract, the field «Payment term» will appear, in which you enter the number of days to pay for the service.

If you need to change the date of services for each client, write down the terms of the guarantee or specify a contact person, insert your tags into the template and fill in these fields when creating a document.
