    Employee time tracking: types, methods, solutions

    Want to know what employees really do? Keep track of working time.

    Types of time tracking

    In accordance with the regulations, one of the tasks of the manager is to keep records of working hours, but there are no clear rules for this. The employer independently decides how to monitor the regime.

    Today, companies use different types of monitoring. Let’s consider the main ones.

    Daily accounting

    This method is suitable for organizations with a normalized schedule. The timesheet (timesheet) records how many hours an employee worked per day. To calculate the salary, the time is summed up.

    Sometimes there are difficulties with this accounting procedure. For example, on Mondays, an employee works 10 hours, and on Fridays only 6. In this case, it is more profitable to keep track of time for another reporting period in order to pay hours at the rate, and not as overtime.

    Weekly accounting of working hours

    This method is intended for enterprises where the duration of the shift depends on the production need. The standard work week is 40 hours, which are distributed differently. In this case, companies must calculate the hours worked so that it does not exceed the norm established by the Labor Code. It should be noted that in practice such options are rare.

    With this accounting procedure, wages are calculated on a weekly basis. If an employee has worked exactly 40 hours, they are paid at a flat rate. If the norm is exceeded, “extra” hours are assessed as overtime and paid separately. In this case, the manager will not have to listen to complaints that employees work more than the norm.

    Summary accounting

    If necessary, organizations can increase the period to a month, quarter or year. In accordance with the law, enterprises with harmful working conditions cannot choose a period longer than three months.

    The choice of any method must be recorded using a separate order. This rule also applies to summary accounting, in which the company counts the hours worked daily and sums up at the end of the period.

    In summation accounting, payment is made at a fixed rate. For overtime hours, the employee receives money at the end of the reporting period.

    Looks like someone reworked it. Time tracking wouldn’t allow that.

    Working time accounting methods

    An enterprise can calculate working hours as follows:

    1. Keep records in Excel spreadsheets or Google Docs.

    2. Keep track of the presence of workers using a log that records the time of arrival and departure.

    3. Organize video surveillance and/or audio recording.

    4. Use accounting software.

    5. Enter controllers and access cards.

    6. Implement a CRM system.

    7. Use time trackers, etc.

    The classic method in the form of tables is suitable for inspections by regulatory authorities and payroll. Other methods make accounting more convenient and efficient. Let’s consider each method in more detail.

    Time sheet in Excel

    The timesheet is also called a timesheet. Timesheet (Eng. Timesheet, time sheet) is a sheet of paper with data arranged in a tabular format. Currently, digital timesheets or spreadsheets are more commonly used. You can make a template to fill out the table daily. Once a month, minor changes should be made to the table.

    Presence log

    This is a proven option for fine-grained control and is still in demand in many organizations. The magazine lies at the checkpoint, employees note when they came to work and left the building, and put their signatures.

    Features of magazines

    In accordance with paragraph 4 of Art. 91 of the Labor Code of the Russian Federation, employers are required to keep records of the time that employees of the enterprise actually worked. There is a special timesheet for this:

    Benefits:

    1. The controllers calculate the working hours as accurately as possible.

    2. The equipment minimizes labor costs for time control.

    3. Devices restrict access to certain rooms.

    Weaknesses:

    1. The controller is expensive equipment.

    2. If the device breaks down, workers will not be able to enter the premises until the foreman arrives.

    Accounting for working hours by persons
